Hey Guys,

      The local space club, HAL5 is hosting the 2011 Intentional Space
Development Conference (http://isdc.nss.org/2011/) in Huntsville May 18-22,
2011.  We are welcome to put up a table there for free or reduced price
(otherwise, full price, amounts pending, but since this is a big conference,
expected to be pretty high), provided we provide a service or volunteers for
the conference (details listed below, a signed Memorandum Of Understanding
required).  I believe we should take advantage of this opportunity since we
can reach out to a very large technical community and many other people
involved in space.

Ethan,

Are you guys interested in paying for a table or getting a free or reduced
price one? The latter two will required some kind support from Makers either
as in kind or cash. In your case it would be the former (in kind).  So. You
will have to tell us what you can do that will be beneficial to the
conference. Of course, the table now has no POWER. If you require power, we
will have to talk about additional cost.

I will pull the ideas for you, but it will be around Monday or Tuesday
before I can send you them. We have to get a few folks up the chain to sign
off on them.

In the mean time, please talk to your group and determine what you can offer
or bring to the table in term of support or uniqueness to the event. We will
work with you, but we can not just give out free table space.  Bear in mind
that we will try to be fair.

The following are some of my ideas and comments in no particular order.

1. Currently, all volunteers will have to pay for their registration up
front at the rate they currently qualify.  We will give you rebates based on
the number of hours you volunteer.  This is to prevent lechers and slackers
try to take advantage of the volunteer rate and decide not to help, but
attend the conference.  We have seen this in the past ISDC.  This will also
allow you to be encourage to volunteer.

This may change, but this is what we have now.

2. Be in charge of a specific ISDC track or function, and receive a discount
on the table cost.


3. Provide entertainment or technical support.  We will have our own IT
support, and our AV support is TBD.



4. Bring in x amount of registrations (TBD)


My best bet would be a mix of 2 and 3. For examples,


We will need extension cords, power strips, Ethernet cables, wifi routers,
laser printers, etc.  If you provide what we need (TBD), we could give you
$XXX off. Or provide x, y z and we give you a table free.  You will have to
be required to label your loaned items, and realized that we will try our
best to make sure they are not 'taken' by others.


Or, this may be something you can do.  We would like to have a break room
that has some fun computer games (wii or PS3).  Nothing violent.  If you can
provide the consoles and appropriate games, and maybe TV/projector, then we
could give you a table for free.

Or. Gophers. It can be running back and forth between VBC and Embassy
Suites, or to outside or errands.


One thing to remember is that once HAL5/ISDC and ML256 reached an agreement,
there will be a MOU (Memorandum of Understanding) that need to be sign.
